How GradeDrive Organizations Work: School and Trust-Managed Accounts Explained

Buying AI Marking for a Department, Not Just a Teacher

Most of what's written about AI marking software, including most of our own blog, is written for a teacher deciding whether to try it themselves. That's a real and common way into GradeDrive. It isn't the only one. A head of department, a school business manager, or a multi-academy trust deciding to license GradeDrive for a whole team is a different buyer with a different question: not "will this help me personally," but "how do we administer this for fifteen teachers without it becoming its own admin job."

That's what GradeDrive's Organizations feature is for. Here's exactly how it works.

What an Organization Actually Is

An organization is a shared GradeDrive account for a school, department or trust, sitting on top of the same product every individual teacher uses. Nothing is held back from a teacher who signs up alone; joining an organization changes who pays and who administers the account, not which features are available.

Every organization has:

• A page allowance, granted by GradeDrive for a fixed window (a term, a year, whatever's agreed), that the organization's teachers draw down as they mark.
• A quota mode, deciding how that allowance is shared, covered below.
• Members, each with a role that decides what they can see and manage.
• A full audit trail of every quota grant, role change and membership change, so "who changed this and when" is never a mystery months later.

Two Ways to Share a Page Allowance

An organization can distribute its page allowance one of two ways, and an Org Manager can choose which:

Shared pool. Every active member draws from one common allowance. Anyone can mark as many pages as they need, up to the organization's total, first come first served. This is the simpler default, and the right choice unless a specific reason exists to cap individual teachers.

Per-teacher allocation. Each member gets their own slice of the total allowance, set by an Org Manager. One teacher running out doesn't affect anyone else's. This suits departments that want to guarantee every teacher gets a fair share regardless of who marks first.

Joining an Organization Without an Admin Chasing You

The setup friction question we answered in an earlier post applies here too, and the answer is the same: minimal. A teacher can join an organization one of two ways:

• Invited by email. An Org Manager enters a teacher's email address. If that teacher already has a GradeDrive account, they're attached immediately. If they don't yet, GradeDrive holds a pending invite and links it automatically the moment they register with that email, no second step for either side.
• Matched by school email domain. If a teacher registers using an email address on a domain that matches exactly one active organization, and nothing else conflicts, they're attached to that organization automatically on sign-up. For a department that's already agreed to license GradeDrive, this means a teacher can just register with their normal school email and land inside the right organization without an Org Manager doing anything at all.

An explicit invitation always takes priority over domain matching, so an Org Manager can still control membership precisely where it matters, and a teacher can only belong to one active organization at a time, in case a domain happens to overlap with more than one school's arrangement.

Who Can Do What: The Three Roles

• Org Manager. Invites and removes members, sets the quota mode and per-teacher allocations, and sees the organization's usage summary. An Org Manager can't create or edit billing/subscription records directly, that stays with GradeDrive, and can't touch other organizations.
• Line Manager. Can see the organization's assessments and submissions where that's explicitly enabled, useful for a head of department who wants oversight without needing to manage the account itself. A Line Manager can't manage members, quota or billing.
• Teacher. The default role for a teacher who marks against the organization's allowance. A Teacher sees their own quota context and usage, not other members' data.

Quota Renewal: Manual by Default, Automatic if You Want It

GradeDrive's organizations started deliberately conservative on this point: a platform admin creates a quota grant for a fixed window, and nothing renews on its own unless someone does it. That's still the default today. On top of it, an organization can now set up a recurring grant, monthly or quarterly, for a set number of occurrences, and the system activates and expires each one automatically on schedule, with a notification when it happens. Both paths exist side by side: a one-off grant behaves exactly as the simple version always did, and recurrence is something you opt into, not something that changes how an existing arrangement behaves underneath you.

What Organizations Don't Do Yet

In keeping with the honesty this blog tries to hold to elsewhere: an organization today is a single unit; there's no department-level hierarchy inside one organization; if two departments in the same school need separate billing or separate quota pools, they're set up as two organizations rather than one organization with sub-groups. And there's no self-serve admin surface yet for a trust running several schools under one arrangement.
